Showcase Volunteer Information

This sheet is primarily for the coordination of volunteers for the Showcase. If you wish to volunteer to help out, please check out the below categories and times and contact saqra@saqra.net with when you are interested in helping! Without volunteers this event couldn't remain the inexpensive community event we are trying to help it continue to be, so much THANKS!

WHAT THEY DO:

Please try to be visible/available 15 minutes before start of assigned shift so you can be trained if needed. Times listed further below.

ENTRY DOOR - Direct dancer to Dancer Check-In. Take raffle tickets from people paying voluntary admission, check for name and phone number, and offer complimentary programs. Take money for any extra programs or raffle tickets desired by people. Make sure you let Saqra know if you think we may be running short of programs or raffle tickets.

DANCER CHECK-IN - Check in dancer. Make sure release is signed by all members of the act, collect $5, record schedule changes to master schedule. Tell dancer where dressing room and video table is. Also check in workshop participants.

If dancer is no-show 45 min before scheduled dance time, send message to announcer through dressing room to call missing dancer name and request waiting list person to also check in.

DRESSING ROOM - Check dancers are there and prepared. Collect music and tape filled in music/announcer slip to the music, deliver to sound. Update sound and dressing room schedules as needed.  Stage is visible as you need to go back and forth between the stage area and the dressing room.

MUSIC - Play the music. Watch the show up close. If you cover a full day you get a hotel room for the night before! Sound during the band times consists of helping to do a sound check, then nothing further once the bands begin until the return to recorded music. Usually covered by David but we need backup for '08 as David's wife is pregnant and due May 6.

VIDEO - video tape the show for dancers wanting it taped. No close ups or fancy camera work so pretty much just aim and shoot.  Usually covered by Jeff, but needs the occasional sub.  

VENDING FOR JEFF - Hang around with Saqra's husband and watch the show from a really good vantage point. Help out with people buying snacks or wanting to order CDs/DVDs. Not married to the table, just taking the pressure off Jeff.

ANNOUNCING - Check pronounciation with dancer and there is also pronounciation on the form the announcer is given. Mistakes are allowed. Announce "And now, from [wherever], [whoever]" before dancer dances, then "That was [whoever] from [wherever]" when they are done. Miscellaneous announcements while waiting for video and audio to be ready (don't announce the dancer until audio and video are ready) include junk about the vendors, plugs for the workshops and bands and more exciting stuff ... it is likely that most bands will be doing their own announcing. You will be given the full text of what you need to say.

OTHER WORKSHOP HELP - the Friday evening and Sat and Sun morning workshops need extra help. Check in person needs to be there 30 min before workshop to check in people. Needs to stay on site and watch door to catch latecomers, but may go ahead and take the workshop without any fees. This space is usually filled by someone doing other volunteer work as a perq for helping out. There is also a Saturday workshop set at the hotel that will need help this year.

INSTRUCTOR WRANGLER - In 2009 we need instructor wranglers for Shoshanna and TBA. Your job would be to keep them basically happy... make sure they are picked up from the airport and dropped back off. Make sure they make it to the hotel and back. Make sure they get food and are generally happy. These are adults and don't need hand-holding, but they don't have their own transportation and the magnitude of the event makes it impossible for Saqra to handle it herself as would normally be the case.  Our instructors will both be in on Fri and out on Sun.
